Travel bookings

The university has an agreement with a travel agency called Stureplans Affärsresebyrå. All business travel must be booked through them.

You can do this online or via the Cytric app.

Is this your first booking?

You need to obtain a travel profile (reseprofil) when you make your first booking.

You can acquire a travel profile by emailing reseochutlaggsgranskning@sh.se.
Send them:

  • Mobile number where you can be reached while travelling
  • ORG code (your unit/school, e.g. 42001)
  • Your invoice reference (your user-ID, e.g. ABBA18)

The travel agency will then email you and you can make your booking.
Your username is your sh.se email address (when you log in to your online booking).

Contact the travel agency by email or phone

Booking your journey online is cheapest, but you can also email or book with personal service. Please note that the travel agency charges a booking fee for bookings made by email or telephone.

Other times – out of hours service: 0770 456 462 (24 hours). If you telephone the travel agency outside of office hours (8.00-17.00), there is an on-call charge of SEK 679.

NB! Call the travel agency’s out-of-hours number 0770 456 462 immediately in cases such as the emergency rebooking of an existing trip, a delay or a missed connection caused by the traveller, urgent additions to an existing booking, or overbooking at the gate – in these instances, our contracted travel agency will be better placed to assist you.

You must not make new bookings yourself if your existing booking was made through the travel agency.

Booking a short taxi journey that is not part of a business trip

Need to take a taxi when you are not on a business trip? Taxis should be used sparingly, only when public transport is not available or would significantly increase the journey time.

The university has procured Taxi Stockholm. Taxi journeys are booked on:
08 612 00 00. When booking, you must provide your customer number, password and invoice reference.

Choosing the mode of transportation

You should primarily choose transportation that produces the lowest greenhouse gas emissions. The university’s procured travel agency will help you make your booking.

Second class is the standard choice. First class can be booked if necessary, depending on the length of the journey, the need for undisturbed work, etc. Night trains are booked in first class.

You can book journeys to Copenhagen and Oslo via the online booking system under the heading for train bookings. You can also book Eurostar train journeys, such as Paris–London or Paris–Brussels.

For other train tickets abroad, please email the travel agency.

Seat reservations abroad: On many European trains, a separate seat reservation is required in addition to the ticket, particularly on high-speed and night trains. Seat reservations are made directly with the relevant train operator or at staffed ticket offices at major stations.

Interrail is booked via the travel agency.
Once you have ordered, you will receive a confirmation email. Download the Eurail/Interrail Rail Planner app, activate your Mobile Pass with the ticket number in the confirmation and add your journeys to My Trip. With the Eurail app, you can plan your entire journey and easily see which services require seat reservations.

When travelling by overnight ferry, you normally get your own cabin with a shower and toilet.

Please contact Stureplans Resor for help with your ferry booking with Tallink Silja, Viking Line and others.

Choose a bus/coach or public transport rather than a taxi or hire car.

If public transport is not an option or is a security risk, a rental car could be an option. The hire car must be a green vehicle (preferably electric) and a mid-range model. The car should primarily be booked through a company with a state framework agreement.

For environmental and road safety reasons, travelling by private car should be avoided. Valid reasons for an exception could include the need to transport heavy and bulky equipment on behalf of the university, or significant time saving and reductions in environmental impact. The mileage allowance applies when using a private car. Use Primula to administer this.

Air travel must not be used for domestic journeys or international journeys of less than 700 km unless there are exceptional circumstances. For journeys over 700 km: choose economy class and avoid stopovers.

Accommodation

You can book accommodation for business trips online via Stureplans Affärsresebyrå or in the Cytric app.

  • When travelling within Sweden, hotels and other accommodation covered by a state framework agreement must be the first choice.
  • Where possible, hotels that are ecolabelled, environmentally certified or can otherwise demonstrate active environmental work should be selected.
  • Book a single room of a good standard. For trips outside Sweden, the hotel standard must be appropriate to the nature of the trip; where available, a good mid-range hotel should normally be chosen.
  • Exceptions may be made in cases when hotels have already been selected by conference organisers, or where accommodation cannot be booked in advance.
  • You can book hostels abroad via the travel agency’s online booking system, although there may be limited choice.
  • In some cases, you can book a hostel in Sweden, but you will need to contact the travel agency. The travel agency does not book cabins or campsites.
  • If you arrange your own accommodation (for example, staying with relatives/friends) during a business trip, rather than a hotel paid for by the university, a night allowance will be paid in accordance with central governmental agreements on terms of employment (villkorsavtalen).

Safety and security when travelling

Your safety and security must be considered in terms of both personal security and road safety, as well as the general situation at your destination.

  • Read about the destination country in advance.

Preparations can include a travel plan for before, during and after the trip.

  • The procured travel agency must always be used when booking travel and accommodation from the perspective of safety and security, as travellers are listed in the agency’s database and can be located more easily in the event of an emergency.
  • If an emergency occurs during your business trip abroad, you must immediately contact Falck Global Assistance for details of healthcare providers or other instructions, as well as support for managing the claim. Take these contact details with you when you travel:

Insurance for business travel

The government’s business travel insurance, administered by Kammarkollegiet (the Legal, Financial and Administrative Services Agency), applies to business travel undertaken by employees, contractors and doctoral students. Read more about Insurance.

Travel expenses

You can apply for advances on expenses that will arise during your trip.

Employees travelling on business can a travel advance from the payroll unit to cover expenses that will arise during the trip, such as purchasing materials at the destination and other travel costs that cannot be booked through the travel agency.
