Work-related travel

This page provides information about what you should consider before, during and after business (work-related) travel, as well as information on travel-free alternatives and how to travel in a more climate-friendly manner.

The travel guidelines apply to all staff, students and non-employees who travel on behalf of the university. They also apply to externally funded trips.

Before you travel – consider your needs, travel-free alternatives and environmental impact

Before you travel, you must always consider whether the trip is necessary and whether it can be replaced by digital meetings. The decision tree below will help you!

Plan your trip

  • Your trip must be justified on the basis of the university’s needs and it must comply with the travel guidelines.
  • You must inform your manager and obtain their approval before booking your trip. Special grounds for exceptions (safety and security, health, family, work environment) are assessed and decided by your line manager.

The travel guidelines are designed to help you choose transport with the least possible environmental impact. See the expander below. Please note:

  • Do not fly domestically.
  • Do not fly internationally if the journey is less than 700 kilometres.
  • The first choice of transportation should be that which generates the lowest greenhouse gas emissions, such as public transport rather than private cars, trains rather than planes.

  • If you have to travel, you must choose the mode of transportation that produces the lowest greenhouse gas emissions when you book.
  • Do not fly for domestic journeys or international journeys under 700 kilometres.
  • For short journeys in Sweden or abroad choose train or bus/coach as the first choice, taxi or rental car as the second choice. This also applies to journeys to and from the airport or train station. The hire car must be a green vehicle (preferably an electric car) in the mid-range category.
    Taxis must be used sparingly. If you do need to get a taxi, choose a green taxi and travel with others where possible. In both cases, the first choice when making bookings must be a company with a government framework agreement.
  • Always consider travelling by train as an alternative to flying for destinations within Europe.
  • You may not fly to a meeting or event that lasts less than a working day if you can attend remotely.
  • Avoid intercontinental flights (outside Europe), as these have the greatest negative impact on the climate.
  • Whenever possible, short connecting flights must be replaced by a train or bus journey, even when travelling abroad.
  • If a journey can be undertaken without flying by using an overnight stay at a hotel, this must be the first choice.
  • Consider whether you can combine several business trips and the potential to work while travelling.
  • Use the procured travel agency to help find alternatives to flying when booking travel.

Travel insurance

The Swedish state’s business travel insurance is valid for employees, contractors and doctoral students during work-related travel. When necessary, your HR generalist (or equivalent) can issue a certificate of coverage for business travel insurance.

Supplementary travel insurance

When you book your trip via the university’s travel agency, Stureplans Affärsresebyrå, you also receive supplementary travel insurance via Moderna. It includes cancellation cover and provides compensation in the event of delays or if your luggage goes missing. It is valid for all trips of up to 60 days.

Booking procedure

The university has an agreement with a travel agency called Stureplans Affärsresebyrå. You must book all business trips through them. Travel arrangements for non-staff members on official business (such as external speakers) must also be booked through this travel agency.

The exception is for short taxi journeys that are not associated with business travel.

While travelling

Here you can find information that may be useful to know or have available during your journey.

If you miss a connecting train due to a delay or cancellation, please contact the train crew or station staff. Many train operators in Europe are obliged to help passengers continue their journey free of charge.

Our procured travel agency can help provide new tickets (they do not rebook international train tickets in the event of delays).

If your SJ train is cancelled, please call SJ on 0771 75 75 75 to rebook your journey. This also applies to advance cancellations. The travel agency can help you cancel the trip and issue a credit if you would prefer to cancel it completely.

Resplus

Resplus is a ticketing partnership between several Swedish travel companies. It allows you to travel with different companies on different routes as part of a single journey. Your ticket must be marked ‘Resplus’. SJ, Öresundståg and Norrtåg are some of the included train operators.

One of the benefits of Resplus is that you are covered by a guarantee that they will get you to your destination.

If you have any questions regarding your purchase or your journey, you should contact the retailer who sold your ticket, or the transport company that operates on the relevant section of the journey.

If you miss a connecting flight due to a cancellation or delay, please contact the staff on site.

  • The airline should help you rebook free of charge; this is their responsibility in the event of a delay.

NB! Call the travel agency’s out-of-hours number (8.00–17.00) immediately if you need to urgently rebook an existing trip, you have caused a delay or a missed connection, or need urgent additions to an existing booking, or there is overbooking at the gate – in these cases, our contracted travel agency will be better placed to assist you.

You must not make new bookings yourself if your existing booking was made through the travel agency.

Emergencies while abroad - Falck Global Assistance

If an emergency or urgent situation arises during a business trip abroad, you must always contact Falck Global Assistance immediately. They will provide details of healthcare providers or other guidance, as well as support for dealing with your claim:
